KF Events offers a variety of services to meet your meeting planning needs.  We look forward to discussing the different aspects of our work with you.  Your event may simply need some extra assistance, or you may be in need of all our services - our specialty is being able to customize our services to meet your needs.  We are happy to provide you with additional information and examples of our work.  


Full Service Meeting Management

Let KF Events plan your entire meeting down to the smallest detail.  As your project manager we will coordinate all aspects of your event.  Samples of services we provide are:

As your event begins to take shape our staff will create a thorough conference agenda – which combines all logistical aspects of your meeting including room, food and beverage, and audiovisual specifications. 


Communication is essential to a successful event.  We participate in status updates with your team as we work through the project timeline to ensure that both our teams are satisfied with the progress being made.   Our staff will make the necessary site visits to make sure all aspects of your event will meet your expectations.

 

Registration, both online & onsite

KF Events offers a robust and easy to use online registration system that automates and integrates conference registration and marketing activities.  Our staff will work to determine the best format for your registration needs and ensure that all pertinent information is uploaded to our registration site. 


The online registration platform can include the following features:


  1. Customizable design to include the “look and feel” which matches your company’s website.

  2. Multiple payment options, including membership purchases and renewals.

  3. Multiple registrants tied to one payment.

  4. Badges with logos, program selections, and bar codes for lead retrieval. 

  5. Robust reporting tools. 


KF Events also supplies onsite registration.  We will work to determine the best onsite registration process and layout.  We are able to accommodate most any request. We are able to provide workstations for print on demand if required.


Strategic Partnership

KF Events will partner with you to determine what criterion is needed for a successful meeting.  We believe that meetings are an integral part of moving a business forward and through doing this strategic exercise; you will see the return of investment for your meeting.  Throughout this process, our staff will work with your team to identify key objectives for your event and develop a measurement for impact and implementation plan.   Along with setting your key objectives is budget planning.  Our staff can create the proper reporting tools and checks to make sure your team is staying within your set guidelines and expectations


The strategic work of KF Events does not end at the event.  We offer a variety of post-event services including survey services to analyze your event and identify the areas that need improvement and those which were a success.  We can tailor any survey based on your strategic assessment plan.  Our staff will provide detailed attendee reporting data.   We also will meet with your staff for a full debrief meeting ensuring future successful events if we are given the opportunity to partner again in the future.


Exhibition Management

Let KF Events manage your exhibition needs.  We can set up online registration for all exhibiting companies including booth selection through an interactive booth map and coordination with the venue. 


KF Events offers lead retrieval services to you and your exhibitors.   Our electronic scanners can be used to track attendance or sold to Exhibitors for lead retrieval.  These scanners provide real time data on attendees and are very user friendly.  This service can also be used for CEU tracking and reporting.


Onsite Logistics

To ensure a successful event we can work with you to determine the appropriate number of staff to be onsite for the duration of your event.  When appropriate we can manage a hospitality suite and/or registration desk where your attendees can have all their questions answered and needs met in a timely and gracious manner. Our staff will ensure that all event space will have the proper set-up, audiovisual capabilities, and food and beverage arrangements.   We will manage all your contracted vendors and excursions ensuring success at every level of your event.  Our staff will also manage all logistics for your speakers and VIPs. 


Another essential aspect of a successful event is to manage all small logistics from signage & room drops to overnight shipping.  Our staff will work determinedly onsite to ensure every aspect of your event is pulled off seamlessly and effectively.


Website Design

KF Events will work with your team to create a thorough and informative website for your attendees.  We can include information on registration, housing, transportation, event location, excursions, etc.  KF Events will prepare a communications timeline integrating all avenues of communications to your attendees.        


We can also include Web 2.0 (social networking) tools to generate interest in the event as well as make a place for your attendees to connect before your event.  We believe that when hosting an event you are most importantly creating an experience for the attendees.  This experience begins with the very first announcement of the event to the networking that continues following your event.  We can work with you to create an experience-marketing plan that far extends the actual event dates.


Site Selection/Contract Negotiation

A great event begins with a great venue.  Together with your planning team KF Events will complete a meeting profile and assist you in finding the right venue for your event.  We have experience working with several venues throughout the country.  We can manage the entire RFP process and present a comprehensive recommendation package.  Once you select a venue we can work with you and the properties to negotiate a fair contract.


Housing and Transportation arrangements

KF Events can coordinate and manage all hotel reservations for your attendees.  We work with the hotel to make sure all needs are met and will make sure all your attendees have the information they need to enjoy their stay while at the meeting.  If needed, we can add a housing section to our registration page that can handle all needs that arise before, during, and after this event. 


We can oversee all transportation needs.  Our staff can manage the data for all arrivals, departures, and transfers. We will coordinate with the contracted transportation company to ensure that the attendees’ transportation needs are met.   We have several valuable partnerships if you need assistance in selecting a transportation company.
